This Privacy Policy explains what information Promax Technologies LLC ("Promax," "we," "us") collects when you use the Promax Freight platform, how we use it, and your choices. We keep this straightforward because we think privacy policies should be readable.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, and password. If you join a team, we collect your role and team association. We use this to operate your account and provide the service.

Load and Business Data

When you use the platform, you enter or forward load information, customer details, rates, and other business data. This data is stored to operate the platform — parsing loads, generating exports, powering the Max AI agent, and providing analytics. We do not sell your business data to third parties.

Email Content

When you forward load tender emails to the platform, we receive and process the email content, including body text, PDF attachments, Excel files, and image attachments. This content is used solely to parse load information and is associated with your account. We do not read or use your emails for any purpose other than parsing loads on your behalf.

Usage Data

We collect information about how you interact with the platform, including pages visited, features used, clicks, and navigation patterns. This helps us understand what's working, what's broken, and what to build next.

2. Analytics and Session Monitoring

We use Microsoft Clarity to analyze how users interact with the platform. Clarity records session activity including clicks, scrolling, and navigation to help us improve usability. Clarity does not record passwords or sensitive input fields. For more information, see Microsoft Clarity's terms.

3. How We Use Your Information

We use the information we collect to:

  • Operate and maintain the platform
  • Parse load tender emails and attachments
  • Generate load board export files
  • Power the Max AI agent with your business data
  • Provide analytics, reporting, and coaching features
  • Improve the platform's accuracy, performance, and features
  • Communicate with you about your account or the service

4. What We Do Not Do

We want to be explicit about this:

  • We do not sell your personal information or business data
  • We do not share your load data, customer information, or pricing with other users or competitors
  • We do not use your data to operate a competing brokerage
  • We do not serve third-party advertising on the platform

5. Third-Party Services

The platform integrates with third-party services to provide its features. When you use these integrations, data may be shared with those services as necessary to perform the function:

  • Load boards (DAT, Truckstop, 123Loadboard) — when you export loads, the generated files contain the load data you approve for export
  • Google Maps — for address validation and route mileage calculations
  • AI providers — for email parsing, the Max AI agent, and coaching reports
  • Email services — for receiving forwarded load tender emails
  • Microsoft Clarity — for session analytics (see Section 2)

6. Data Security

Your data is encrypted in transit via SSL. Inbound email webhooks are verified with HMAC signatures and protected by rate limiting. We implement reasonable technical and organizational measures to protect your data against unauthorized access, alteration, or destruction. No system is perfectly secure, but we take data protection seriously.

7. Data Export and Deletion

You can export your loads, customers, and history at any time in standard formats. If you want to delete your account and associated data, contact us at promax@promaxfreight.com and we will process your request.

8. Data Retention

We retain your data for as long as your account is active or as needed to provide the service. If you delete your account, we will delete your personal and business data within 30 days, except where retention is required by law or necessary for legitimate business purposes (such as resolving disputes).

9. Changes to This Policy

We may update this policy from time to time. If we make material changes, we will notify you by email or through the platform. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
